Cities, school districts, and colleges may be able to purchase from Pace without going through a formal bid process.

Pace Systems holds cooperative purchasing contracts through TIPS, sells through an OMNIA Partners contract held by Promark Technology, and serves Illinois public universities through IPHEC. These contracts have already been competitively awarded, so members can typically purchase through them without running their own bid. We also respond to public bids, and organizations outside these cooperatives can buy from us directly with a purchase order or purchasing card. Not sure which option fits? Contact us and we’ll help you find the simplest path.

4 Cooperative Contracts to Skip the Bid

Cooperative contracts are competitively bid up front, so members can buy through them without going out to bid themselves.

Your own purchasing policies and dollar thresholds still apply, so it’s worth confirming with your procurement office before relying on a cooperative contract.

Buying on a contract

Three Steps to Buy on Contract

The contract name appears on both our quote and your purchase order, so the paperwork matches when your office files it.

Get a quote on your contract

  1. 01

    Membership

To buy through TIPS or OMNIA Partners, your organization needs to be a member. IPHEC is limited to Illinois public universities. TIPS and OMNIA Partners both offer free membership to eligible public agencies, so if you haven’t joined yet, it’s worth reaching out to them.

  2. 02

    The quote

Name the contract in your request, and we’ll include it on your quote. Once you place the order, it will show in the Pace Hub as well.

  3. 03

    Your purchase order

Make your purchase order out to Pace Systems, Inc. and name the contract on it, so that it matches our quote.

Other ways to buy

A purchase order, a purchasing card or a credit card works without any contract.

If your office doesn’t belong to TIPS or OMNIA Partners, or the order is under your bid threshold, you can buy from us the way you buy anything else.

Get a second quote

  1. Purchase order

Write your purchase order against our quote, since the quote already says in writing what is included and what isn’t.

  2. Purchasing card or credit card

We also accept purchasing cards and credit cards, if paying by card is easier for your office.

  3. Businesses

Business customers can purchase on credit terms, which we set when your account is opened.

  4. A public bid

We respond to public bids and RFPs from school districts, colleges, cities, and other public agencies. If your purchasing rules require a formal bid, we’d welcome the chance to respond.

  5. A second quote

If your file needs more than one quote, we’ll send a second one within one business day.

Vendors

One quote can cover devices, network gear, security and AV.

We sell HP, Dell, Lenovo, Apple, Microsoft and more, along with the carts, power and peripherals that go with them, so an order that mixes several vendors still comes as one quote and one order.

Delivery

Local delivery across Chicagoland by our own fleet, with nationwide shipping through trusted carriers

If an order needs no setup, it ships straight to you from the vendor or the distributor.

Orders that we set up go through our configuration lab in Naperville first, and then our trucks bring them to you around Chicago, while everywhere else they ship with a carrier.

If your site isn’t ready for installation yet, we’ll store your equipment until it is. You can see everything we’re holding for you in the equipment register in the Hub.

The Pace Hub

Every account comes with the Pace Hub, at no charge.

The Hub shows where every order stands, along with everything else on your account, so your team can check status anytime without picking up the phone.

Questions

Common Questions From Purchasing Offices

What cooperative contracts can a city use to buy from Pace?

If your city belongs to TIPS, it can buy from Pace on contract 230105 for technology and 260202 for security systems, and if it belongs to OMNIA Partners, it can buy on contract 01-169 through Promark Technology. IPHEC is only for Illinois public universities, so a city that isn’t in TIPS or OMNIA Partners would run a bid that we can answer, or send us a purchase order.

Is it free to join TIPS or OMNIA Partners?

Both programs say joining is free for eligible public bodies, such as cities, counties, school districts and public colleges. We recommend asking TIPS or OMNIA Partners how to join, and checking your purchasing rules at the same time so you know what a contract lets your office skip.

Can we pay by purchase order, purchasing card or credit card?

We take purchase orders written against our quote and accept purchasing cards and credit cards, and a business with an account at Pace can buy on credit terms instead.

Can Pace answer our bid or RFP?

We respond to public bids and RFPs from school districts, universities, municipalities, and other public agencies. If your office is issuing one, we’d welcome the chance to respond.

Can Pace send a W-9, an insurance certificate and MBE certificates?

We send all of them the same day you ask. Our legal name is Pace Systems, Inc., at 2040 Corporate Lane, Naperville, IL 60563, and our SAM.gov UEI is FGKTDUUD7TG8, in case your vendor form asks for it.

Does Pace ship outside Illinois?

Yes, we ship anywhere in the US. Orders go out by carrier, and you can track them in the Pace Hub. In the Chicago area, our own trucks handle delivery. If your site isn’t ready for installation yet, we’ll store your equipment until it is.

Next step

Name your contract when you send Pace your list.

If it’s made up of standard items, we usually quote it the same business day, and the quote names the contract so your purchase order can match it.
